Cancellation Terms

A. Standard Cancellation Terms

1. For bookings made 31 days or more prior to departure (including the 31st day), our company will collect 10% of the amount due on the booking confirmation.

2. 15-30 days prior to departure (inclusive), our company will collect 25% of the amount due on the registration order;

3. 8-14 days prior to departure (inclusive), our company will collect 55% of the amount due on the registration order;

4. If all vehicle and hotel reservations are confirmed within 7 days prior to departure (including the 7th day), our company will not refund your tour fees.

B. If your visa application materials have already been processed through our company, the cancellation clauses are as follows (if a refusal letter is available):

1. For bookings made more than 31 days prior to departure (including the 31st day), our company will charge a 10% change fee based on the amount due on the booking order;

2. 15-30 days (inclusive) before departure, our company will charge a 25% change fee based on the amount due on the booking order;

3. 8-14 days prior to departure (inclusive), our company will charge a change fee of 55% of the amount due on the registration order;

4. If all vehicle and hotel reservations are confirmed 0-7 days prior to departure (including the 7th day), and changes are not possible, our company will not refund your travel fees.

If there is no refusal letter, an additional processing fee of £50 will be charged for each visa application.

Depart from Helsinki in the morning. Make your own way to Helsinki train station to take the VR Arctic Train to Kemi (the price includes train tickets from Helsinki to Kemi). Upon arrival, the guide will meet you and take you to visit the [SnowCastle Exhibition Area] (included). The exhibition includes two venues: the Gemstone Exhibition and SnowExperience365. The entire SnowCastle offers a unique and ingenious grandeur, featuring an ice hotel, sauna, restaurant, bar, and an ice chapel, among others.

After breakfast, head to the Bothnian Bay, the northernmost part of the Baltic Sea, to board the Polar Explorer Icebreaker (included) for a breathtaking 3-hour icebreaking experience. You can change into a warm floating suit (requires a height of 125cm or more to float) and float in the icy sea to experience the unique charm of the Arctic. Alternatively, try walking on the ice (only if ice conditions permit) and feel the thrill of the ice under your feet. Afterwards, drive to Rovaniemi for hotel check-in and rest.

After breakfast at the hotel, visit the Polar Museum in Rovaniemi (included). The museum offers a wide range of information about the Arctic region today, as well as exhibitions on the history, culture, and nature of Lapland.

You will also visit the former northernmost McDonald’s in the world, followed by a visit to Santa Claus Village in Rovaniemi. Here, you can take photos with Santa Claus, cross the Arctic Circle, enjoy local food, buy souvenirs, and send postcards from the Arctic Circle.

You will also experience a reindeer sleigh ride (included), one of the most iconic traditional ways to travel through Lapland’s snowy landscape. Afterwards, leave Santa Claus Village and continue to your hotel in Saariselkä for check-in.

Aurora Cabin Introduction

The Aurora Cabin is located beside natural hills and forests, offering beautiful views of Lapland’s pristine snow-covered landscape.

The resort is approximately 500 metres from the town centre, where restaurants, shops, and spa facilities are available. All Aurora Cabins include a heated glass roof, minibar, kettle, hairdryer, private bathroom, and Wi-Fi.

Polar Sky Suite Introduction

The Polar Sky Suite offers a luxurious stay overlooking Saariselkä and the surrounding Arctic landscape.

Located on top of Kaunispää Hill, the suite features a partial glass roof, allowing guests to admire the night sky, stars, and, with luck, the Northern Lights from the comfort of the bed. From this elevated location, guests can also enjoy panoramic views of Saariselkä village and the surrounding fells.

Each suite includes a private sauna, bathroom, kitchen, and spacious interiors designed for relaxation.

Please note that the Polar Sky Suite is located approximately 2 km from the resort’s main building and Aurora Cabins. A complimentary shuttle service is provided between the main building and the Polar Sky Suite for dining and activity arrangements.

Today we'll head to a Lapland camp for a husky sledding experience, followed by a snowmobile ride to chase the Northern Lights in the evening. First, we'll participate in the [Husky Sledding] (included), where the magical snowscape unfolds before you as the huskies run. After a short rest and dinner, we'll embark on an optional [Snowmobile Aurora Chasing] (at our own expense), venturing into the dark forest to search for the Northern Lights. Embrace nature in the night forest and feel the power of the Arctic. Afterwards, we'll return to our hotel in Saariselkä for overnight stay.

For group members participating in the [King Crab Tour with Lunch] (optional), we will depart from Saariselkä in the morning and travel by car to Kirkenes, a prime location for king crab fishing. Upon arrival at the camp, we will take a sleigh pulled by a snowmobile along the frozen fjord to visit the ice holes where the crab traps are set, and then enjoy a king crab lunch. After the activity, we will check into our hotel in Kirkenes.

*Group members not participating in the optional king crab activity will proceed to the Kirkenes hotel for free time after passing the king crab camp. Hotel check-in is usually available after 2:00 PM.

After checking out in the morning, we will depart and proceed to Kirkenes Airport for drop-off around 09:30, Ivalo Airport for drop-off around 13:30, and Rovaniemi Train Station for drop-off around 18:30. (Actual drop-off time and location will be subject to the guide's itinerary!)

  • 2 adults may bring 1 child aged 3-6 who does not require a separate bed.
  • Children under 6 years old who do not occupy a bed and share a twin room with 2 parents will receive an 80% discount.
  • If 1 adult brings 1 child, the child will be charged at the adult rate.
  • Children of any age requiring a separate bed will be charged at the adult rate.

  • Twin rooms are arranged by default.
  • The Premium Tour series does not guarantee shared rooms. Single travelers must pay a single supplement. If a roommate becomes available 7 days before departure, the single supplement will be refunded.

  • Hotel ratings refer to globally renowned booking websites (e.g., Booking.com).
  • Room amenities include: kettle, hairdryer, shower gel, Wi-Fi (mostly free).
  • Please bring your own: toothpaste, toothbrush, slippers.
  • Important rule: Smoking is strictly prohibited throughout the hotel. Violators will face substantial fines.

  • Snow activities are not recommended for infants under 4 years old!
  • Safety in icy and snowy conditions is paramount, please take it seriously! Apart from snowmobiling/king crab fishing/icebreaker floating where warm equipment is provided, for other snow activities (reindeer/husky sledding), please rent professional warm equipment yourself (overalls, mittens, boots, etc., estimated 5-10 euros per item per day). If you do not wear sufficiently warm, waterproof, and cold-resistant footwear and clothing, our guides reserve the right to refuse your participation in snow activities on site to ensure your personal safety, and no refunds will be issued!

5. Can the tour guide pick me up from my hotel?

Unfortunately, you will need to make your own way to the meeting point. To save everyone's time, we designate a central departure point with public transportation access.

6. What is the size of the tour group?

We usually use a tourist bus or a commercial minivan. If a 9-seater or smaller vehicle is used, a Chinese-speaking driver who also acts as a guide will be arranged.

7. If I am traveling alone, can I specify a roommate?

We will randomly assign a roommate of the same gender. We cannot accommodate requests for specific roommates or other special conditions.

8. Can minors join the tour alone?

Unfortunately, minors must be accompanied by at least one adult to join the tour. We cannot accept bookings for unaccompanied minors.

9. Can I join the tour midway or leave early?

If you need to join midway or leave early, you will still be required to pay the full tour fee (except for multi-city循环tours). Please confirm feasibility with customer service before booking.

10. How are lunch and dinner handled?

Lunch and dinner are at your own expense. Meals are usually arranged at attractions, along the route, or at hotels. You can ask your tour guide for recommendations and suggestions for dining locations.

11. Are there any restrictions on checked luggage?

Each traveler may bring one piece of luggage not exceeding 23kg and with dimensions not exceeding 158cm (sum of three sides), plus a small personal bag. For special requirements, please contact customer service.

12. Do hotel rooms provide kettles and hairdryers?

Most hotels provide hairdryers and kettles. If you absolutely need to use them daily, it is recommended to bring your own.

We cannot purchase personal travel insurance on your behalf. However, we strongly recommend that you purchase suitable personal travel insurance in your country of residence before departure and provide accurate personal information to ensure a safe and worry-free trip.

17. Can credit cards be used during the trip?

Most merchants accept international credit cards. UnionPay, Alipay, WeChat, and other payment methods are not common in Europe. It is recommended to carry international credit cards and a small amount of British Pounds cash for tips, entrance fees, or personal use. For your safety, please do not carry large amounts of cash.

19. Is this tour suitable for children and seniors?

This itinerary involves long journeys, low-temperature environments, and includes various snow and outdoor activities such as icebreakers, reindeer sledding, husky sledding, and snowmobiling. The overall temperature is low, and the pace of the itinerary is quite full. Generally, it is recommended for children who have a certain tolerance for cold and can adapt to the team's schedule. Infants under 4 years old are not recommended to participate in snow activities. If traveling with children, parents should assess their child's physical condition and adaptability in advance. Seniors who are healthy and have good mobility can generally participate. If you have cardiovascular diseases, respiratory diseases, mobility issues, or are not suitable for low-temperature environments, it is recommended to carefully evaluate before booking and consult a doctor in advance.

20. Can children participate in snow activities?

Some snow activities have requirements for children's height, age, or safety conditions. For example, ice floating on an icebreaker usually requires a specific height; in snowmobile activities, younger or shorter children usually cannot drive and can only ride in a sled according to on-site regulations. Whether they can participate depends on the local activity company's safety regulations on the day.

21. Do I need to prepare my own warm gear for snow activities?

Yes. Except for some activities like snowmobiling, King Crab safaris, and icebreaker floating where professional warm gear is provided, for other snow activities such as reindeer sledding and husky sledding, travelers usually need to prepare or rent their own warm gear. It is recommended to prepare waterproof and anti-slip snow boots, thick down jackets, thermal pants, hats, scarves, gloves, and hand warmers. If the on-site assessment determines that the clothing is insufficient to ensure safety, the guide has the right to refuse the guest from participating in snow activities, and related fees are usually non-refundable.

22. Is there a lot of free time?

This itinerary mainly focuses on polar experiences and inter-city travel, with a generally full schedule, so free time is relatively limited. If you do not participate in some optional activities, such as snowmobiling to chase the Northern Lights or the King Crab safari, free time will usually be arranged at the hotel or in a local town, subject to the guide's arrangements on the day.

23. If I don't participate in optional activities, will it affect the itinerary?

It will not affect the basic itinerary. Optional activities are voluntary. If you do not participate, the guide will arrange free time for you at the hotel or nearby area according to the actual route. However, as it gets dark early and the temperature is low in the Nordic winter, it is recommended to prepare meals, warm clothing, and heed the guide's reminders regarding meeting times and safe areas.

24. Is it guaranteed to see the Northern Lights?

The Northern Lights are a natural phenomenon, influenced by various factors such as weather, clouds, solar activity, and light pollution, so there is no guarantee of seeing them. This itinerary will pass through active aurora zones and arrange suitable viewing locations or optional aurora chasing activities, but the final viewing results depend on the natural conditions on the day.

25. Can I upgrade to a glass igloo?

You can upgrade to an Arctic Light Resort glass igloo or Arctic Sky Suite at an additional cost, depending on availability. As glass igloo rooms are very limited in winter, it is necessary to apply as early as possible, and usually, payment for the room is required before confirmation. If the room cannot be confirmed in the end, a refund will be arranged. Once a glass igloo is confirmed, the cancellation policy is stricter, so please carefully review it before booking.
