Cancellation Terms

A. Standard Cancellation Terms

1. For bookings made 31 days or more prior to departure (including the 31st day), our company will collect 10% of the amount due on the booking confirmation.

2. 15-30 days prior to departure (inclusive), our company will collect 25% of the amount due on the registration order;

3. 8-14 days prior to departure (inclusive), our company will collect 55% of the amount due on the registration order;

4. If all vehicle and hotel reservations are confirmed within 7 days prior to departure (including the 7th day), our company will not refund your tour fees.

B. If your visa application materials have already been processed through our company, the cancellation clauses are as follows (if a refusal letter is available):

1. For bookings made more than 31 days prior to departure (including the 31st day), our company will charge a 10% change fee based on the amount due on the booking order;

2. 15-30 days (inclusive) before departure, our company will charge a 25% change fee based on the amount due on the booking order;

3. 8-14 days prior to departure (inclusive), our company will charge a change fee of 55% of the amount due on the registration order;

4. If all vehicle and hotel reservations are confirmed 0-7 days prior to departure (including the 7th day), and changes are not possible, our company will not refund your travel fees.

If there is no refusal letter, an additional processing fee of £50 will be charged for each visa application.

Depart from Helsinki in the morning and take the Arctic Express train to Oulu. Upon arrival, take a bus to Kemi to visit the SnowCastle Exhibition (at your own expense). The exhibition includes two venues: the Gemstone Exhibition and SnowExperience365. Afterward, transfer to a hotel near the Swedish-Finnish border for check-in.

After breakfast, head to the Bothnian Bay, the northernmost part of the Baltic Sea, to board the Polar Explorer icebreaker (at your own expense) for a breathtaking 3-hour icebreaking experience. You can put on a warm survival suit (you must be over 125cm tall to float) and float in the icy sea to experience a unique arctic charm. Or try walking on the ice (only when ice conditions permit) and feel the thrill of the ice under your feet. Afterwards, head to the hotel on the Swedish-Finnish border for check-in.

Depart from the hotel in the morning to visit Santa Claus Village in Rovaniemi. You can take photos with Santa Claus, cross the Arctic Circle, enjoy local food, buy souvenirs, and send postcards.

After leaving Santa Claus Village, continue to Saariselkä for a short rest and dinner. In the evening, you may join the optional Snowmobile Aurora Chasing Tour at your own expense. Ride into the dark forest in search of the Northern Lights, embrace nature, and experience the mysterious charm of the Arctic night.

Cabin Accommodation Notice

The third, fourth, and fifth nights will be spent in cabins.

Cabins are mostly suites for 3-8 people, with multiple rooms inside each suite. Each room is usually arranged as a twin room. Cabin room types are not standardized like hotel rooms, and standard rooms are limited. Specific room types cannot be guaranteed.

Aurora Cabin Introduction

The Aurora Cabins are located beside natural hills and forests, offering beautiful views of Lapland’s pristine snow-covered landscape. The resort is approximately 500 meters from the town center, where restaurants, shops, and spa facilities are available.

Each Aurora Cabin is equipped with a heated glass roof, minibar, kettle, hairdryer, private bathroom, and Wi-Fi.

Polar Sky Suite Introduction

The Polar Sky Suite offers a luxurious retreat overlooking Saariselkä. Located on top of Kaunispää Hill, the suite features a partial glass roof, allowing you to admire the stars and, with luck, the Northern Lights from the comfort of your bed.

From this elevated location, you can also enjoy magnificent views of Saariselkä village and the surrounding fells. Each suite includes a private sauna, bathroom, kitchen, and spacious interiors designed for relaxation.

The Polar Sky Suite is located 2 km from the resort’s main building and Aurora Cabins. The resort provides a free shuttle service between the main building and the Polar Sky Suite for convenient access to dining and activities.

This morning, we will visit the Lapland Camp to see a reindeer farm. In the afternoon, we'll go on a husky sled ride, and in the evening, we'll experience a polar snowshoeing adventure in pursuit of the Northern Lights. First, we'll visit the [Reindeer Farm] (included), where you can learn about Sami culture, feed reindeer up close, and interact with them. You'll also get to enjoy a 15-minute reindeer sleigh ride (***Reindeer sleigh rides are only possible when snow conditions permit! If there is insufficient snow, only the reindeer farm visit will take place, please be aware!), and experience Santa Claus's mode of transport! The reindeer will pull the sleigh from the front while you sit inside, admiring the unique polar scenery.

Afterward, participate in the [Husky Safari] (optional, at your own expense). As the huskies run, the wonderful snowy landscape unfolds before you. After a short break and dinner, we will explore the National Forest Park in the evening, experiencing [Polar Snowshoes] (optional, at your own expense) in pursuit of the magical Northern Lights, before returning to your cottage in Saariselkä.

*Please note: Husky sleigh rides require advance booking, as availability is limited and tickets sell out quickly. The order of snow activities may be adjusted; the final schedule will be based on actual arrangements.

For participants who join the [King Crab Tour with Lunch] (optional), depart from Saariselkä in the morning and travel by car to Kirkenes, a prime location for king crab fishing. Upon arrival at the camp, we will take a sledge pulled by a snowmobile along the frozen fjord to visit the ice holes where crab pots are placed, and then enjoy a king crab lunch. After the activity, we will return to Saariselkä and check into a local characteristic log cabin hotel.

*Participants not joining the optional King Crab activity will have free time in Saariselkä.

*Please note: If you choose to end your tour in Kirkenes, the King Crab activity is compulsory. The drop-off point is approximately 10 kilometers from both the airport and the city center, and transportation from there is at your own expense!

After checking out in the morning, depart for Rovaniemi and visit the Arctic Museum (at your own expense). The museum exhibits provide extensive information about the development of the current Arctic Circle region, as well as exhibitions on the history, culture, and nature of Lapland. After the visit, take the overnight Arctic Express back to Helsinki, staying overnight in a 2-person sleeper train.

6. Luggage: 1 piece of 23kg luggage and 1 carry-on bag.

6. Economic losses and liabilities caused by delays or itinerary changes due to force majeure events such as weather, strikes, or malfunctions of aircraft, vehicles, or ships.
7. Personal expenses such as telephone calls, faxes, laundry, pay TV, hairdressing, cigarettes, alcohol, beverages, and luggage handling at the hotel; other unspecified local service fees (visa, airfare, travel insurance, etc.).

1. Age and Health

  • Minors under 18 years old must be accompanied by an adult.
  • Seniors aged 70 and above must sign the Health Waiver before the tour.
  • Bookings from pregnant women are not accepted. Thank you for your understanding.

2. Children Policy

  • Two adults may bring one child aged 3-6 who does not require a separate bed.
  • Children under 6 years old who do not occupy a bed and share a double room with two parents will receive a 20% discount.
  • If one adult brings one child, the child will be charged at the adult rate.
  • Children of any age who require a separate bed will be charged at the adult rate.

3. Room Arrangements

  • Twin rooms are arranged by default.
  • The Premium Tour series does not guarantee shared rooms. Single travelers must pay a single supplement. If a roommate can be found within 7 days before departure, the single supplement will be refunded.
  • The entire single room stay does not include the VR train experience on the 6th night. Upgrading to a single room in a cabin for nights 3-5 only refers to a single room within a suite!

4. Room Types and Facilities

  • Single room: one single bed (approx. 80-100cm wide)
  • Twin room: two single beds (approx. 80-100cm wide)
  • Double room: one double bed (approx. 140-160cm wide)
  • Family room: one double bed + one sofa bed/folding bed. Please note: UK hotels rarely have three single beds in standard rooms.

5. Services and Tips

  • Hotel ratings refer to globally renowned booking websites (e.g., Booking.com).
  • Room amenities include: kettle, hairdryer, shower gel, Wi-Fi (mostly free).
  • Guests need to bring their own: toothpaste, toothbrush, slippers.
  • Important rule: Smoking is strictly prohibited throughout the hotel. Violators will face substantial fines.

6. Important Notes

  • For individual tours from January to March, cabins will be upgraded to 4-star hotels. Please refer to the actual arrangements.
  • Once booked, self-funded activities cannot be cancelled or changed within 14 days (inclusive) before departure.
  • Safety in snowy and icy conditions is paramount! Except for snowmobiling/king crab fishing/icebreaker drifting which provide warm gear, for other snow activities (reindeer/husky sledding), please rent professional warm gear yourself (overalls, mittens, boots, etc., estimated at 5-10 euros per item per day). If you are not wearing sufficiently warm, waterproof, and cold-proof clothing and footwear, our guide has the right to refuse your participation in snow activities on site to ensure your personal safety, and no refund will be issued!

After you pay the tour fee online and complete your personal information, we will send you a booking confirmation email within 1-2 business days. Upon receiving the confirmation email, you can start booking your round-trip transportation to the departure city and hotel accommodation. 2-3 days before departure, we will send you the guide's contact information and a departure notice via email.

2. Is there a minimum number of participants required for the tour to proceed?

There is no minimum number of participants for this tour. All scheduled tour dates are guaranteed to depart, so please book with confidence.

3. What personal information do I need to provide for booking?

4. How is the tour fee calculated for solo travelers?

If a solo traveler wishes to stay in a single room, a single supplement is required. If willing to share a room with a same-gender tour mate, we will try our best to arrange it, but success is not guaranteed. If room sharing cannot be arranged, the single supplement will still apply.

*Please note: The single room supplement for the entire trip does not include the single sleeper on the VR train on the sixth night; if upgrading to a single room in a cabin for nights 3-5, it is usually a single room within a suite, not an independent entire cabin.

5. Can the tour guide pick me up from my hotel?

Unfortunately, you will need to make your own way to the meeting point. To save everyone's time, we collectively agree on a central meeting point with public transportation.

6. What is the size of the tour group?

We usually use a tour bus or a commercial minivan. If a 9-seater or smaller car is used, a Chinese-speaking driver-guide service will be provided.

7. If traveling solo, can I request a specific room-sharing partner?

We will arrange room-sharing with same-gender tour mates randomly and cannot accommodate specific requests or other special room-sharing conditions. If you are concerned about room-sharing affecting your rest, we recommend purchasing a single supplement in advance.

8. Can minors join the tour alone?

Unfortunately, minors must be accompanied by at least one adult to join the tour. We cannot accept bookings for unaccompanied minors.

9. Can I join mid-tour or leave early?

If you need to join mid-tour or leave early, you will still be required to pay the full tour fee (except for multi-city circular tours). Please confirm feasibility with customer service before booking.

10. How are lunch and dinner handled?

Lunch and dinner are at your own expense. They are usually arranged at attractions, en route, or at the hotel. You can ask your guide for recommendations on dining places.

11. What are the luggage restrictions?

Each traveler may carry one piece of luggage not exceeding 23kg and with a sum of dimensions not exceeding 158cm, plus a small personal bag. For special requests, please contact customer service.

12. Do hotel rooms provide kettles and hairdryers?

Most hotels provide hairdryers and kettles. If you need to use them daily, it is recommended to bring your own.

13. Do hotels provide disposable toiletries and slippers?

To protect the environment, hotels usually do not provide disposable toiletries and slippers. Please bring your own personal toiletries and slippers.

14. Can I smoke in the hotel room or on the tour bus?

Smoking is prohibited in public places by law, including hotel rooms and tour buses. Please comply with regulations; smoking in hotel rooms or on tour buses is strictly forbidden. If caught, you may face high fines or prosecution.

15. Can I use my own electric stove to cook in the hotel room?

Please do not cook in the hotel room. The heat and smoke will trigger smoke alarms and sprinkler systems, leading to an emergency evacuation of all occupants. This could cause you unnecessary financial losses.

16. Can the travel agency purchase personal travel insurance for me?

We cannot purchase personal travel insurance on your behalf. However, we strongly recommend that you purchase suitable personal travel insurance in your country of residence before departure and fill in correct personal information to ensure a safe and worry-free trip.

17. Can I use credit cards during the trip?

Most merchants accept international credit cards. UnionPay, Alipay, WeChat Pay, and other payment methods are not common in Europe. It is recommended to carry an international credit card and also a small amount of British Pounds cash for tips, buying tickets, or personal use. For your safety, please do not carry large amounts of cash.

18. Does this tour have mandatory shopping?

In the UK and Europe, forced shopping tours are illegal. We offer a pure leisure tour with no mandatory shopping arrangements, allowing you to fully enjoy every moment of your trip.

19. Is this tour suitable for children and seniors?

This itinerary involves long journeys, low-temperature environments, and includes various snow and outdoor activities such as icebreakers, reindeer sledding, husky sledding, and snowmobiling. The overall temperature is low, and the itinerary is quite packed. It is generally recommended for children with some cold tolerance and who can adapt to the team's schedule. Infants under 4 years old are not recommended for snow activities. If traveling with children, parents should assess their child's physical condition and adaptability in advance. Seniors in good health and with good mobility can generally participate. If you have cardiovascular diseases, respiratory illnesses, mobility issues, or are not suitable for low-temperature environments, it is recommended to carefully evaluate before booking and consult a doctor.

20. Can children participate in snow activities?

Some snow activities have height, age, or safety requirements for children. For example, ice floating on an icebreaker usually requires reaching a specific height. For snowmobile activities, younger or shorter children usually cannot drive and can only ride a sled according to on-site regulations. Whether they can participate depends on the local activity company's safety regulations on the day.

21. Do I need to prepare my own warm clothing for snow activities?

Yes. Except for some activities like snowmobiling, King Crab safaris, and icebreaker floating, which provide professional warm clothing, other snow activities such as reindeer sledding and husky sledding usually require travelers to prepare or rent their own warm clothing. It is recommended to prepare waterproof and non-slip snow boots, thick down jackets, warm trousers, hats, scarves, gloves, and hand warmers. If the guide deems that your clothing is insufficient to ensure safety, they have the right to refuse your participation in snow activities, and related fees are usually non-refundable.

22. Is there much free time?

This itinerary mainly focuses on Arctic experiences and inter-city travel, so the overall arrangement is quite full, and free time is relatively limited. If you do not participate in some optional activities, such as snowmobiling to chase the Northern Lights or the King Crab safari, free time will usually be arranged at the hotel or a local town, subject to the guide's arrangements on the day.

23. Will not participating in optional activities affect the itinerary?

It will not affect the basic itinerary. Optional activities are voluntary. If you do not participate, the guide will arrange free time for you at the hotel or in the nearby area based on the actual route. However, due to early sunsets and low temperatures in the Nordic winter, it is recommended to prepare meals, warm clothing, and heed the guide's reminders regarding meeting times and safe areas.

24. Can I decide to join optional activities at the last minute?

It is not recommended to decide at the last minute. Popular winter activities such as icebreakers, husky sledding, snowmobiling, King Crab safaris, and glass igloo upgrades are in high demand, so it is advisable to book as early as possible. If you sign up close to departure or upon arrival, they may already be sold out. Once optional activities are booked, cancellations and changes are usually not allowed within 14 days of departure, so please confirm your personal health and itinerary before booking.

25. Is it guaranteed to see the Northern Lights?

The Northern Lights are a natural phenomenon and are influenced by various factors such as weather, cloud cover, solar activity, and light pollution, so sighting cannot be guaranteed. This itinerary will pass through active Aurora zones and include suitable viewing locations or optional Aurora chasing activities, but the final viewing result depends on the natural conditions on the day.

26. Can I upgrade to a glass igloo?

You can upgrade to an Arctic Light Resort glass igloo or Arctic Sky Suite at your own expense, depending on availability. Due to high demand for glass igloos in winter, early application is required, and the room fee usually needs to be paid first to confirm availability. If the room is ultimately not confirmed, a refund will be issued. Once a glass igloo is confirmed, the cancellation policy is quite strict, so please confirm carefully before booking.

How do I book my trip?

The booking process is very simple: select your preferred departure date and number of participants on the product page, click the "Book Now" button, and complete the online payment to successfully lock in your trip.

What payment methods are accepted?

We accept major international credit cards such as Visa and Mastercard (American Express is not currently supported). Transactions will be settled at the real-time exchange rate. For payments in RMB, please select the Globepay payment method and choose WeChat Pay. The system will convert the RMB to GBP using the real-time exchange rate for settlement.

How can I view the cancellation terms?

Each product has its own cancellation policy, which you can view in detail at the top right of the product page (above the "Buy Now" button). Please contact customer service as soon as possible to cancel.
