1. What is the booking process?
After you submit your order online, pay the tour fee, and provide complete personal information, we will follow up and confirm your booking within 1-2 business days. Once you receive the booking confirmation email, we recommend that you then arrange your long-distance transport to and from the departure/arrival cities, as well as your pre- and post-tour hotel stays. 2-3 days before departure, we will send the tour guide's contact information and the departure notification via email.
2. Is this tour guaranteed to depart?
This itinerary is a designated winter tour series. The actual tour dates, availability, and departure status are subject to the system calendar, customer service responses, and the final confirmation email. We advise you to book your flights, train tickets, or hotel accommodations only after receiving the confirmation email.
3. What personal information is required for booking?
Please provide: full name, gender, date of birth, nationality, passport information, email address, and mobile phone number. Please ensure all information is accurate to avoid any impact on departure notifications, accommodation arrangements, or local activity bookings.
4. How is the tour fee calculated for solo travelers?
Solo travelers who require a single room must pay a single supplement. If you are willing to share a room with a traveler of the same gender, we will try our best to coordinate this, but we cannot guarantee that a room share will be successful; if we are unable to arrange a room share, the single supplement will still apply. Please note: If you upgrade to a single room in the Saariselkä cabins (nights 3-5), this usually refers to an individual room within a suite, not a standalone cabin.
5. Can the tour guide pick me up at my hotel?
We apologize, but guests are required to travel to the designated meeting point to join the tour. To facilitate a unified departure for the group, we arrange meeting points at public locations with relatively convenient transport access. Please refer to the departure notification for the specific time and location.
6. Where can I join and leave the tour?
For this itinerary, you may choose to join on Day 1 in Helsinki, Oulu, or Kemi, and end the tour on Day 6 at the Rovaniemi train station. The joining time is approximately 08:00 in Helsinki, 14:30 in Oulu, and 16:00 in Kemi; the tour ends at approximately 17:30 in Rovaniemi. Actual times may be affected by weather, traffic, and daily itinerary arrangements; please refer to the final departure notification and your guide's arrangements.
7. Is the train from Helsinki to Oulu included?
If you choose to join in Helsinki, the tour fee includes an economy class VR train ticket from Helsinki to Oulu. If you choose to join in Oulu or Kemi, this train segment is not included.
8. What are the arrangements for group size and vehicles?
The itinerary typically uses tour buses or business vans, depending on the group size. For groups of 9 passengers or fewer, a Chinese-speaking driver-guide service is generally provided.
9. Can minors join the tour alone?
No. Minors under 18 must be accompanied by at least one adult; we cannot accept bookings for minors traveling alone.
10. Is this tour suitable for children and seniors?
This itinerary includes long driving hours, low-temperature environments, and various outdoor snow activities, such as icebreaker cruises, reindeer farms, husky sledding, snowmobile aurora hunting, and king crab safaris. We recommend that children, seniors, and guests with cardiovascular diseases, respiratory issues, or mobility challenges carefully assess their physical condition before booking and consult a doctor in advance. Guests aged 70 and older are required to sign a "Senior Health Declaration" before the tour. Snow activities are not recommended for infants under 4.
11. How is the child price calculated?
Children under 6 who do not occupy a bed and share a double room with 2 adults are eligible for a child discount. If 1 adult travels with 1 child, the child is charged at the adult rate. If a child requires a bed, please contact customer service in advance to confirm the price and room type.
12. Can I join mid-way or leave the tour early?
If you need to join in Oulu or Kemi, you can select the corresponding meeting point when booking. For other requests to join mid-way or leave early, please confirm the feasibility with customer service before booking. Refunds are generally not provided if you leave the tour early or skip parts of the itinerary on your own.
13. What are the accommodation arrangements?
The itinerary includes 2 nights in local 3-4 star hotels and 3 nights in traditional Saariselkä cabins. Cabins for nights 3-5 are mostly suites for 3-8 people, featuring multiple bedrooms, usually with 2 people per room. Cabin types are not as standardized as hotel rooms and specific room types cannot be requested. For some tour dates from January to March, cabins may be upgraded to four-star hotels; please refer to the final arrangements.
14. What facilities are inside the cabins?
Cabins are usually equipped with cutlery, a dishwasher, refrigerator, freezer, stove, microwave, oven, toaster, electric kettle, dryer, TV, fireplace, and firewood. Before using the dishwasher, please ensure the water valve is turned on. Hot water tank capacity in the cabins is limited; please do not use all the hot water at once to avoid affecting other guests.
15. Can I upgrade to a glass igloo?
Yes, subject to availability and at your own expense, you may upgrade to an Aurora Cabin or Polar Sky Suite at the Northern Light Village. Due to limited availability in winter, you typically need to pay for the room first before we can request confirmation; if the room cannot be confirmed, we will issue a refund. Cancellation policies for glass igloos and Polar Sky Suites are strict; please check carefully before booking. After upgrading to the Northern Light Village, guests are usually responsible for arranging or booking their own transport between the resort and the town center of Saariselkä.
16. How are lunch and dinner handled?
This itinerary includes some hotel breakfasts, while lunches and dinners are generally at your own expense. The tour guide will recommend suitable dining locations based on the route; during the stay at Saariselkä cabins, guests can purchase their own groceries and cook simple meals.
17. Are there any luggage restrictions?
Each guest may carry 1 piece of luggage weighing no more than 23kg and 1 piece of hand luggage. Due to thick winter clothing and limited luggage space in vehicles, we recommend traveling light. If you have special requirements, please contact customer service in advance to confirm.
18. Do hotels and cabins provide toiletries, slippers, electric kettles, and hair dryers?
Facilities in Nordic hotels and cabins vary by location. To avoid inconvenience, we recommend bringing your own toothbrush, toothpaste, slippers, personal toiletries, and other commonly used items. Cabins are usually equipped with electric kettles, but if you require specific items daily, we suggest bringing your own.
19. Can I smoke in hotels, cabins, or on the tour bus?
No. Smoking is generally prohibited in hotels, cabins, public areas of resorts, and on tour buses. Violating accommodation rules or local regulations may result in heavy fines; please be sure to comply with on-site rules.
20. Can I use my own electric stove to cook in my hotel room?
Please do not use personal electric stoves or other cooking equipment in hotel rooms, as this may trigger smoke alarms or sprinkler systems and result in additional fines. If staying in a cabin, please use the kitchen facilities safely according to the provided instructions.
21. Can the travel agency purchase travel insurance on my behalf?
We cannot purchase personal travel insurance for you. Since Nordic winter itineraries involve low temperatures, snow activities, and cross-border travel, we strongly recommend that you purchase appropriate personal travel insurance in your country of residence before departure and verify that the insurance covers relevant activities in Finland, Sweden, and Norway.
22. Can I use a credit card during the trip?
International credit cards are accepted by most merchants in Finland, Sweden, and Norway, but it is still recommended to carry a small amount of cash in Euros or equivalent currency for tips, incidental expenses, or small shops. Please do not carry large amounts of cash and keep your personal belongings secure.
23. Is there mandatory shopping on this tour?
There are no mandatory shopping arrangements on this itinerary. Any souvenir purchases, local experiences, or optional activities during the trip are voluntary; please decide whether to participate or purchase based on your personal interests and budget.
24. Can children participate in snow activities?
Some snow activities have requirements regarding age, height, or safety conditions. For snowmobiling, younger or shorter children are typically not allowed to drive and may only ride in a sled according to site regulations; icebreaker swimming also has height and safety requirements. Participation is subject to the local activity provider's safety rules on the day of the activity. Snow activities are not recommended for infants under 4.
25. Do I need to prepare my own warm gear for snow activities?
Yes. While some projects like snowmobiling, king crab safaris, and icebreaker swimming usually provide professional thermal gear, guests are encouraged to prepare or rent their own warm clothing for activities like reindeer farms, husky sledding, and snowshoeing. We suggest preparing waterproof and non-slip snow boots, a thick down jacket, thermal pants, a hat, scarf, gloves, and heat packs. If staff or organizers determine that your clothing is insufficient to ensure safety, they have the right to refuse your participation in the relevant snow activity, and fees are generally non-refundable.
26. Is there much free time?
This itinerary focuses on Arctic experiences, intercity travel, and winter activities; the schedule is generally full, and free time is relatively limited. If you choose not to participate in certain optional activities, such as snowmobile aurora hunting or the king crab safari, you will generally have free time at the hotel, cabin, or near the local town, subject to the guide's arrangements on the day.
27. Will it affect the itinerary if I don't participate in optional activities?
It will not affect the core itinerary. Optional activities are voluntary. If you choose not to participate, your guide will arrange for you to have free time at the hotel, cabin, or in the surrounding area. However, as it gets dark early and temperatures are low in the Nordic winter, please prepare meals and warm clothing in advance and follow the guide's instructions regarding meeting times and safety zones.
28. Can I decide to participate in optional activities at the last minute?
We do not recommend last-minute decisions. Winter favorites like icebreaker cruises, husky sledding, snowmobiling, king crab safaris, and glass igloo upgrades have limited availability; booking in advance is highly recommended. If you sign up near the departure date or upon arrival, they may already be sold out. Cancellation and change policies for booked optional activities are strict. Generally, snow-based optional activities cannot be changed or refunded within 14 days of departure; icebreaker cruises may have independent cancellation rules—please refer to the final confirmation terms.
29. Is it guaranteed that I will see the Aurora Borealis?
No, this cannot be guaranteed. The aurora is a natural phenomenon affected by weather, cloud cover, solar activity, light pollution, and many other factors. This itinerary passes through the Lapland region, which is well-suited for viewing the aurora, and optional aurora hunting activities are available, but whether you see the lights depends on the natural conditions of the day.
30. Is there no daylight at all during the polar night in the Arctic Circle in winter?
It is not completely without daylight. During winter in the Arctic Circle, daylight hours are short; it gets light late in the morning and dark early in the afternoon, but sightseeing can still be arranged during the day. Specific daylight conditions vary depending on the date, weather, and location.
