1. What is the booking process?
After you have paid the tour fee online and completed your personal information, we will send you a booking confirmation email within 1-2 working days. Once you receive the confirmation email, you may start booking your transportation to and from the joining city, as well as any pre- or post-tour hotel accommodation.
The guide’s contact details and final tour notice will be sent by email 2-3 days before departure.
2. Is there a minimum group size requirement?
There is no minimum group size requirement for this tour. All scheduled departure dates are guaranteed to operate, so you can book with confidence.
3. What personal information is required for booking?
Please provide the following personal information:Name / Gender / Date of Birth / Nationality / Passport Information / Email Address / Mobile Number
4. How is the tour fee calculated for solo travellers?
Solo travellers who wish to stay in a single room will need to pay the single supplement. If you are willing to share a room with another traveller of the same gender, we will try our best to arrange this, but room-sharing cannot be guaranteed. If no suitable roommate is available, the single supplement will still apply.
Please note: The full-tour single room supplement does not include a single cabin on the VR overnight train on the sixth night. For the cabin accommodation on Nights 3-5, a single room upgrade usually refers to a single room within a shared cabin suite, not an entire private cabin.
5. Can the guide pick me up from my hotel?
Unfortunately, hotel pick-up is not available. Guests are required to make their own way to the designated meeting point. To save time for all travellers, we arrange a central meeting point with convenient public transport access.
6. How large is the group?
We usually use a tour coach or a business travel vehicle, depending on the final group size. If the group is arranged in a 9-seater vehicle or smaller, a Chinese-speaking driver-guide service will usually be provided.
7. Can solo travellers request a specific roommate?
Room-sharing will be arranged randomly with another traveller of the same gender. We are unable to accept requests for a specific roommate or special room-sharing conditions. If you are concerned that sharing a room may affect your rest, we recommend booking a single room supplement in advance.
8. Can minors join the tour alone?
Unfortunately, minors must be accompanied by at least one adult in order to join the tour. We are unable to accept bookings for unaccompanied minors.
9. Can I join the tour halfway or leave the tour early?
If you need to join the tour halfway or leave early, the full tour fee will still apply, except for multi-city joining or leaving loop tours. Please check with our customer service team before booking to confirm whether your request is possible.
10. How are lunch and dinner arranged?
Lunch and dinner are not included and will be at your own expense. Meals are usually arranged near attractions, en route, or around the hotel. You may ask the guide for dining recommendations.
11. What is the luggage allowance?
Each traveller may bring one piece of luggage weighing no more than 23kg, with total dimensions not exceeding 158cm, plus one small carry-on bag. If you have any special luggage requirements, please contact our customer service team in advance.
12. Do hotel rooms provide kettles and hairdryers?
Most hotels provide hairdryers and kettles. If you need to use them every day, we recommend bringing your own travel-size items just in case.
13. Do hotels provide disposable toiletries and slippers?
To protect the environment, hotels usually do not provide disposable toiletries or slippers. Please bring your own personal toiletries and slippers.
14. Can I smoke in the hotel room or on the tour coach?
No. Smoking is prohibited in public areas by law, including hotel rooms and tour coaches. Please strictly follow local regulations. If smoking is discovered, you may face a heavy fine or possible legal action.
15. Can I cook in the hotel room using my own electric stove?
Please do not cook in the hotel room. Heat or smoke may trigger the smoke alarm and sprinkler system, causing an emergency evacuation of the hotel. This may result in unnecessary financial loss.
16. Can the travel agency purchase personal travel insurance for me?
We are unable to purchase personal travel insurance on your behalf. However, we strongly recommend that you purchase suitable personal travel insurance in your country of residence before departure, and ensure that all personal details are entered correctly, so that you are properly covered during the trip.
17. Can I use credit cards during the trip?
Most merchants accept international credit cards. UnionPay, Alipay, and WeChat Pay are not commonly accepted in Europe. We recommend bringing an international credit card and a small amount of cash for tips, attraction tickets, or small personal expenses. For your safety, please do not carry a large amount of cash.
18. Is there any compulsory shopping on this tour?
No. Compulsory shopping tours are illegal in the UK and Europe. This is a pure sightseeing tour with no compulsory shopping arrangements, so you can enjoy every moment of your journey.
19. Is this tour suitable for children and elderly travellers?
This itinerary involves long-distance travel, low temperatures, and several snow and outdoor activities, such as icebreaker experiences, reindeer sleigh rides, husky sledding, and snowmobiling. The overall temperature is low and the itinerary is relatively active.
Children who can tolerate cold weather and follow the group schedule may join the tour. Snow activities are not recommended for infants under 4 years old. If travelling with children, parents should carefully assess the child’s physical condition and ability to adapt to the environment.
Elderly travellers may join if they are in good health and have good mobility. If you have cardiovascular disease, respiratory conditions, mobility difficulties, or are not suitable for low-temperature environments, we recommend assessing carefully before booking and consulting a doctor in advance.
20. Can children participate in snow activities?
Snow activities are not recommended for infants under 4 years old. Some snow activities have height, age, or safety requirements. For example, younger children or those below the required height usually cannot drive a snowmobile and may only be allowed to sit in a sleigh according to the activity provider’s safety rules.
Whether a child can participate will depend on the local activity company’s safety regulations on the day.
21. Do I need to prepare my own winter clothing for snow activities?
Yes. Apart from certain activities such as snowmobiling and the King Crab Safari, where professional thermal gear is usually provided, other snow activities such as reindeer sleigh rides and husky sledding generally require guests to prepare or rent their own warm clothing.
We recommend bringing waterproof, non-slip snow boots, a thick down jacket, thermal trousers, hat, scarf, gloves, and heat packs. If the guide determines on site that your clothing is not warm or safe enough, they may refuse your participation in the snow activity, and the related fee is usually non-refundable.
22. Is there a lot of free time?
This itinerary focuses on Arctic experiences and cross-city travel, so the schedule is relatively full and free time is limited.
If you choose not to join certain optional activities, such as snowmobile aurora hunting or the King Crab Safari, free time will usually be arranged at the hotel or in the local town, subject to the guide’s arrangement on the day.
23. Will it affect the itinerary if I do not join the optional activities?
No, it will not affect the basic itinerary. Optional activities are voluntary. If you choose not to participate, the guide will arrange free time for you at the hotel or nearby area according to the actual route.
However, as winter days in Northern Europe are short and temperatures are low, we recommend preparing food, warm clothing, and following the guide’s instructions regarding meeting times and safe activity areas.
24. Can I decide to join optional activities after arrival?
We do not recommend deciding at the last minute. Popular winter activities such as husky sledding, snowmobiling, the King Crab Safari, and glass igloo upgrades are often in high demand. We recommend booking as early as possible. If you wait until shortly before departure or after arrival, the activities may already be sold out.
Once optional activities are booked, they are usually non-refundable and non-changeable within 14 days before departure. Please confirm your physical condition and travel plans before booking.
25. Is it guaranteed that we will see the Northern Lights?
No. The Northern Lights are a natural phenomenon and are affected by weather, cloud cover, solar activity, light pollution, and other factors. Sightings cannot be guaranteed.
This itinerary travels through areas where the Northern Lights are active and may include suitable viewing locations or optional aurora hunting activities, but the final result depends on natural conditions on the day.
26. Can I upgrade to a glass igloo?
Yes, subject to availability. You may upgrade at your own expense to a Northern Lights Resort glass igloo or Polar Sky Suite.
As glass igloos are in very high demand during winter, early application is required. Payment is usually required first before availability can be confirmed. If the room cannot be confirmed, a refund will be arranged.
Once a glass igloo booking is confirmed, the cancellation policy is usually strict. Please check carefully before booking.
27. Is there no daylight during the polar night inside the Arctic Circle?
In the Arctic Circle region, the sun usually rises around 9:00-10:00 in the morning and sets before 3:00-4:00 in the afternoon. There are around 6 hours of daylight, and it looks like normal daytime during those hours.
